International Booking Terms & Conditions
1. Booking & Reservation
A booking is confirmed once Travelpros Africa Safaris Ltd receives the required deposit and sends a written booking confirmation. All bookings are subject to availability.
2. Deposit & Payment
A 30% non-refundable deposit is required to confirm a booking.
The remaining 70% balance must be paid at least 30 days before arrival.
Bookings made within 30 days of travel require full payment at the time of booking.
Payments may be made by bank transfer, credit/debit card, or other approved payment methods. Bank transfer charges and transaction fees are the responsibility of the client unless agreed otherwise.
3. Prices
All quotations are based on current park fees, taxes, fuel prices, exchange rates, and supplier rates. Travelpros Africa Safaris Ltd reserves the right to adjust prices if these costs change before full payment is received.
4. Cancellation Policy
All cancellations must be made in writing.
The following cancellation charges apply:
More than 60 days before arrival: 30% of the total tour cost (deposit).
30–59 days before arrival: 50% of the total tour cost.
15–29 days before arrival: 75% of the total tour cost.
14 days or less before arrival, no-show, or early departure: 100% of the total tour cost.
Refunds are subject to any non-refundable charges imposed by hotels, airlines, lodges, national parks, and other suppliers.
5. Changes to Bookings
Any requested changes after confirmation are subject to availability and may attract additional charges.
6. Travel Documents
Clients are responsible for ensuring they possess valid passports, visas, vaccination certificates, travel insurance, and any other documents required by the countries they visit.
7. Travel Insurance
Comprehensive travel insurance is mandatory. Insurance should include:
Medical expenses
Emergency evacuation
Trip cancellation or interruption
Personal accident
Loss or theft of baggage and personal belongings
8. Health Requirements
Clients must disclose any medical conditions, disabilities, allergies, or dietary requirements before travel.
9. Safari & Wildlife Safety
Safaris take place in natural environments where wildlife moves freely. While every effort is made to ensure guest safety, Travelpros Africa Safaris Ltd cannot guarantee wildlife sightings or eliminate all risks associated with nature-based travel.
Guests must always follow the instructions of safari guides and park regulations.
10. Luggage Allowance
For domestic flights within East Africa, luggage is generally limited to 15 kg (33 lbs) per person in soft-sided bags unless otherwise specified by the airline. Additional baggage may incur extra charges.
11. Accommodation
If a booked hotel or lodge becomes unavailable due to circumstances beyond our control, Travelpros Africa Safaris Ltd reserves the right to provide accommodation of a similar or higher standard.
12. Transport
Vehicles are maintained to high safety standards. However, delays caused by weather, road conditions, mechanical issues, or government restrictions may occasionally occur.
13. Force Majeure
Travelpros Africa Safaris Ltd shall not be liable for delays, cancellations, or changes caused by events beyond our reasonable control, including natural disasters, pandemics, political unrest, terrorism, strikes, government actions, border closures, or other unforeseen events.
14. Liability
Travelpros Africa Safaris Ltd acts as an agent for airlines, hotels, lodges, transport companies, and other suppliers. We shall not be held liable for injury, illness, loss, theft, delays, accidents, missed connections, or additional expenses arising from acts or omissions of third-party suppliers or circumstances beyond our control.
15. Photography
Travelpros Africa Safaris Ltd may use photographs or videos taken during tours for promotional purposes unless the client notifies us in writing before the safari.
16. Complaints
Any concerns should be reported immediately to the tour guide or company representative to allow us the opportunity to resolve the matter promptly. Formal complaints must be submitted in writing within 14 days after the completion of the tour.
17. Governing Law
These Terms & Conditions are governed by the laws of the Republic of Kenya. Any disputes shall be subject to the exclusive jurisdiction of the Kenyan courts.
18. Acceptance
Payment of a deposit or the full tour price confirms that the client has read, understood, and accepted these Terms & Conditions.
